You can assign assets or resources to an order for booking! It's called Resource Booking in vProMedia.
This includes physical equipment, as well as locations that need to be scheduled or reserved for production. This can be helpful for companies where assets need to be tracked and used for client video shoots, audio recordings and more.
Summary
Training session covered vProMedia resource management capabilities and scheduling workflows and implementation requirements.
Resource Management Overview
vProMedia enables tracking of physical equipment and locations via manual entry or CSV import. Resources are organized into packages for efficient scheduling of multiple items.
Booking and Approval Workflows
Production managers schedule resources while sales staff receive booking visibility. Sales staff requests require manager approval before finalized calendar placement.
System Configuration
Users must configure notification settings in account profiles. Organizations deciding to implement this optional feature should contact support to define role permissions.
Details
- vProMedia Resource Management Basics: vProMedia enables the logging of assigned or scheduled resources, including physical equipment and locations requiring reservation for production. To access this, users must navigate to the settings tab on the sidebar and select the resource and equipment manager. Resources can be added individually by clicking the plus new resource button, or by importing a formatted CSV file. Each resource entry requires details such as the item's value, the rate for use, and its storage location.
- Resource Packaging: Resources can be combined into packages, such as remote bins, light kits, or audio equipment. This functionality allows multiple items to be scheduled simultaneously using a single entry.
- Scheduling and Visibility Roles: The booking tool is available in the list view from the PO column. Production managers and other users with booking abilities can schedule resources for assigned jobs. Meanwhile, sales staff are granted visibility into the calendar of booked resources related to each of their requests.
- Sales Staff Booking and Approval Workflow: If sales staff have the permission to pre-book client appointments, they will see this option at the top of the resource calendar. Appointments booked by the sales role are not immediately finalized; they require approval by the production director or another approving manager before appearing on the calendar. Furthermore, resources can be booked without a production order, and users are able to view all scheduled assets on the calendar.
- Notifications and Account Configuration: Notifications for resources and equipment are available via email and within the system. To configure these settings, users should navigate to the notifications tab in their account profile, click edit at the bottom, select the specific types of requests or stations for which they wish to receive updates, and save the changes.
- Optional Feature Implementation: The resource and equipment management feature is optional for any firm. Organizations that wish to implement this feature should contact vCreative support to determine which specific staff roles should be granted access.
