How Can I Run A Year-End Prize Report?

vPromotions gives you the ability to collect and print your 1099 winner information without a mound of work.

IMPORTANT NOTE: Always run the Dupe Detector in Settings / vPromo / Winners to merge any duplicate winners before running End Of Year Reports.

Who Can Access Winner Tax ID Information?

Only vPromotions users that have been assigned the "Tax ID Access" ability can access winners' Social Security Numbers for tax reporting purposes. If you are required to access this sensitive information, please contact vCreative's vPromotions Help Desk, and we can assign you Tax ID Access, if it is required.

How Can I Create A Year End Report?

The Year End Prize Report gives you the list of winners who have hit the $600 taxable 1099 threshold. Follow these steps to create it:

Hover over your name in the upper right hand corner of the page.
Choose REPORTS from the menu that appears
Choose YEAR END PRIZE REPORT

Next, enter the dates for the Report that you want, and enter any Contests that should not be included (for example, Contests for which the Prize 1099s are being provided by a third party promotional partner that administered the Contest.)

Once you click the blue "Generate Report" button, an orange message box will appear in the upper right corner letting you know the information is being generated and the report will be headed to your email soon. When the report is ready, you will receive this email:

For maximum security, after clicking the View Report link, you will have to log in to see the report. This ensures that no one has gained access to your email. Be sure that you have vPromotions already open in the browser in which you are opening the Year End Prize Report.

Printing IRS 1099-MISC Forms

Once you view the report, print the 1099's by clicking the blue "PRINT 1099's" button at the top center of the page.

To print the actual 1099 MISC form and winner information on special 1099 blanks, leave the "print guidelines" button checked, and use the "Copy" buttons to select and print each copy for all winners.

To print just the winner information on pre-printed 1099 MISC forms, uncheck the "print guidelines" box and print each of the 1099 copies that are needed (Copy A, Copy B).

Reminder: Only listeners who have Claimed a cumulative total of $600 in Prizes during the time period will be on the report. So be sure all claimed prizes have been marked as claimed before running the report.

Any information that has not been imported into vPromotions will not appear on the list.
