How to Submit a Storm Closing 

PromoSuite Next lets you collect and organize storm closing and delay information for your organization and cluster quickly and efficiently. This article explains how to submit and manage storm closings so on-air and online systems stay up to date during weather events.

 

Step 1: Access the Storm Closings Submission Page

Navigate to Front Desk > Storm Closing > Organizations

Note: This section is for internal use only. To learn how clients or organizations submit a closing, click here.

Step 2: Complete the Organization Information Form

Organizations must complete the form below accurately to ensure their closing is processed and displayed correctly.

Organization

Enter the official name of their organization (for example, a school, business, or municipal office).

Code

Create a unique organization code. This code is used to quickly identify their organization in the system.

Password

Set a password for their organization. This allows you to securely submit future closings without re-entering all organization details.

Select Category

Choose the category that best describes their organization (such as School, Business, Government, or Non-Profit).

  • If the correct category is not listed, select Add Category to create one by click the blue plus button.

Applicable Stations

Select the station(s) that should display their organization’s closing information. Only the selected stations will show their submission.

Addresses

Enter their organization’s street address.

  • Use Address 2 for suite numbers, building names, or additional location details if applicable.

  • City: Enter the city where their organization is located.

  • State: Select the appropriate state.

  • ZIP Code: Enter their organization’s ZIP code.
  • County: Enter or select the county where heir organization is located. This helps group closings accurately during widespread weather events.

Step 3: Submit Their Storm Closing or Delay

After completing the organization information:

  1. Go to Front Desk> Storm Closing > Closings
  2. Search Organization or by Search by Code 
  3. Select the type of status (full closing, delayed opening, early dismissal, etc.).

  4. Add any Message if needed (for example, reopening expectations).
  5. Enter the effective date and time.

  6. Click 'Save'


Publishing Storm Closings

Once an organization submits a storm closing, it is added to the system for station review and publishing.

To manage and publish storm closings, navigate to:
Front Desk > Storm Closings > Utilities > Export Options

Layout Configuration (Important)

At the top of the Export Options page, you’ll see a layout form that controls how storm closings display on your landing page.

Adjusting Display & Sorting

Below the layout section, you can adjust sorting options to control how closings are ordered on your landing page (for example, alphabetically or by status).

Note: Be sure to click Save after making any adjustments.

  • Use this link on your website or share it with your audience to display current closings and delays.

XML Link

  • Provides an XML feed of all storm closings.

  • Commonly used for website integrations, widgets, or third-party systems that pull live closing data.

Organization XML Link

  • Provides an XML feed grouped by organization.

  • Useful for advanced integrations or when organization-level data is required.


On-Air Access to Storm Closings

Once storm closings are submitted and published, they are also available in the studio for on-air talent to read live or use while voice tracking.

To access storm closings in the studio:

  1. Navigate to Studio

  2. Select In Studio

  3. Click the Storm Closings tab on the left-hand side

On-air talent can view the most up-to-date list of closings and delays directly from this tab, ensuring accurate and timely information is shared on air during live broadcasts or recorded segments.
