How Organizations Submit a Storm Closing or Delay

PromoSuite allows organizations (such as schools, businesses, and government offices) to submit storm closings or delays through a secure online form. Before submissions can be accepted, stations must configure the Organization Submission Form and ensure organizations are properly set up with login credentials.

Step 1: Configure the Organization Submission Form (Station Setup)

To access and configure the submission form, navigate to:

Front Desk > Storm Closings > Utilities > Organization Submission Form

This page controls the content and behavior of the form organizations use to submit their closings.


Form Content Sections

Fill out each of the following fields as needed. These control what organizations see during submission.

Content Displayed Above the Submit Form

“The following content will appear above the Submit Form on the website”

  • Use this section to provide instructions or context for organizations.

  • Example: who should submit, what types of closings are accepted, or submission deadlines.


Content Displayed Below the Submit Form

“The following content will appear below the Submit Form on the website”

  • Use this area for additional notes, reminders, or contact information.

  • This content appears beneath the form fields.


Thank You Page Message

“The following content will appear on the Thank You page after submission”

  • This message confirms a successful submission.

  • Example: “Thank you for submitting your closing. It will be reviewed and published shortly.”


Error Message Content

“The following content will appear if there is an error during submission”

  • Displayed if the form cannot be submitted successfully.

  • Use this to instruct users to retry or contact the station for help.


Step 2: Optional Form Settings

At the bottom of the Organization Submission Form settings page, you’ll find additional options:

Limit the Number of Characters in the Message Box

  • Check this option to restrict how many characters organizations can enter.

  • Enter the maximum number of characters in the provided field.

Do Not Allow Users to Change the Time of Closings

  • Check this option if you want organizations to submit only the closing status without modifying the time.

  • This is useful for standardizing submissions across multiple organizations.

⚠️ Important:
Don’t forget to click Save after making any changes.


Step 3: Organization Setup Requirement (Important)

Before an organization can submit a closing or delay, it must be set up in PromoSuite.

Organizations need to:

  1. Complete the Organization Information setup

  2. Receive a Code and Password

These credentials are required to log in and submit closings through the form.


Step 4: Organization Submission Link

Once the form is configured, organizations can submit their closing or delay using the following link:

Organization Submission Form:

Organizations will log in using their organization code and password, then submit their closing or delay information through the form.


What Happens After Submission

  • The closing is added to the system web page and studio.
