Importing Spreadsheets into PromoSuite Mail
If you have a spreadsheet, in .CSV format, of listener info, including their email address, you can import those into your PromoSuite Mail database.
- Go to Tools > Import Listeners

- Click on Create New Subscription & in the pop-up type the name you want to upload this list under. Or, you can choose an existing list in the Subscription dropdown to add to that list.
- Click on Choose File & find your .CSV file to upload.
- If your spreadsheet has headers in the first row, you can check the box which will attempt to automatically assign the field to upload.

- Click Upload
- The import utility will then go through each column for you to assign a field. If your spreadsheet has extra columns that cannot be imported, you can click the Skip button to ignore that column.

- Once you have assigned all columns, click the Save button.
- You will receive an email notification once the import is completed.
- If you need to see a history of your imports, you can go to Tools > Import History. The # Warnings will show you how many records did not import certain fields & give the reason why. The # Failed will show you the number of records that could not be imported at all & the reason why.
- Once the import is completed, if this is a new Subscription List, you will need to save it as a Segment.
- Go to Tools > Database Query.
- In the Contest/Registration dropdown, select the name of the Subscription List you created in Step 2 & click on View Results.
- Once the list populates, then click on Save Segment & give the Segment a name (it can be the same name as you gave the Subscription List).
- You will now see that Segment available in the To dropdown when creating a new email.
Common troubleshooting before importing your spreadsheet.
- It must be a .CSV file, no other file types (e.g. .XLSX) can be used.
- The minimum required fields to import are First Name, Last Name, & Email Address
- Do a search/replace for any commas that could be in a field. Extra commas can cause that row to fail to import entirely.
- Delete any extra columns beforehand to avoid having to skip those columns & any potential confusion
- With phone numbers, remove any leading 1s & make sure there are only 10 digits in the field. Any more/less than 10 digits & the field for that record will be skipped (if there are no other issues with that row, the rest of the data will be imported).
