PromoSuite Next User Groups and Associated Permissions

 

User Groups exist so that permissions (access to certain features or information in PromoSuite Next) can be segmented by the role a user plays within your operation.

When creating a new user in PromoSuite Next, assign the group that best describes the role of the user you are creating.

Below is a description of each User Group and the permissions - the access - a user has in PromoSuite Next when they are assigned to the group.

 

USER GROUPS & PERMISSIONS

Everything: This role should be reserved for a couple of key PromoSuite Next users. They have unlimited access to stations where they are assigned the Everything group. 

Front Desk: Users in this group have the ability to distribute prizes, generate release forms, contact free prize fulfillment, and run storm closing reports.

On Air: Users of this group are focused on the studio. Please note, users of this group cannot add to the log or override eligibility limits unless the default settings are updated.

Sales: Users of this group will be able to access all features of the Sales tab. This includes creating requests, generating affidavits, running reports and using utilities. Sales users DO NOT have the ability to change approvers or create custom sales requests forms unless the settings are updated.

IT/Admin: Users of this group have the ability to manage user logins and can access the setup and utilities section, along with the In-Studio backup.

Program Director: Users of this group have the ability to run the offline In-Studio backup, clear locks and make use of the Programming, Sales and Events sections.

Promotions Director: Users in this group have top promotions access and can handle all aspects of Contesting, the Prize Closet, Events, Scheduling and the In-Studio tab. They can also create Sales Requests and Calendars.

Business: Users in this group can create 1099s, run the contest revenue report, prize value report, event revenue report and general revenue report. Business users have limited access to PromoSuite Next outside of these reports.

Management: Users of this group will be able to run almost all reports. 

Promotions Coordinator: Users of this group can assist with running your promotions by checking various reports and they have limited In-Studio privileges as well. These users have read only access to promotions, therefore it is not suited for users who need to create/schedule content under the promotions tab. 

Street Team: This group has view only privileges for the event section. This allows users to see event information including site information, vehicles and station supplies. They are not permitted to view personal staff information.
