How To Enable Address Verification

Address Verification is a system function that can be enabled or disabled depending on your station's requirements.   For example, if you want to verify the address provided by a winner before providing documents like a winner release form or W9 form, you want to enable Address Verification.  

How To Enable Address Verification

PromoSuite Next users with Administrator-level permissions can go to Setup >> Contests >> Contact-Free Winner Form settings, then click Address Verification on the left side.

When you reach the address verification setup page. Check the box next to Enable Address Verification.

Then, modify the following settings to enable the Address Verification:

  • The number of days the verification is valid for winners
  • If a cash contest requires a new verification
  • Include the station logo on the verification page 
  • Text box to include information and messages after the listener has uploaded their ID 
  • Email address to notify users a new address verification has been submitted 
  • Removing images from the database after a length of days
  • Requiring address verification before sending a winner's release and/or W9 Form

After set-up, Address Verification immediately takes affect.

As usual, you will process a winner individually or using Batch Winner Processing for more than one winner.

Inside PromoSuite Next, the listener's account has a red checkmark in the "Home Address" field box.

The color red indicates that the address has not been approved/verified.

Click on the red checkmark to review the address verification information submitted by the winner. You can Approve or Reject the identification document, or Cancel and deal with it later.

When Approved, the winner is emailed a release form and/or a W9 form to complete. If the Rejected, the PromoSuite Next user can provide the reason for rejection (in a text box provided), and when saved, the rejection notice (and reason) is emailed to the winner.
