Managing the Extension
When using the HubSpot Gmail Extension we can easily create tickets from our email account. Once the extension is downloaded you will see this HubSpot icon in the upper right area of your account. That is a link to your HubSpot extension settings.
The first option of logging and tracking settings we recommend adjusting to NOT log, but perhaps track emails. Logging an email is adding the email to a ticket. Tracking an email allows you to see if the email has been opened. In this view you will also see default associations, meaning those email details will automatically be logged within HubSpot. There is also an option to add email addresses to Never Log, and we have added several company email addresses.
The second option is where you can adjust your Browser notifications, and you can also be brought directly to the notifications section in your account.
Those are the two key feature options to adjust in your extension, but please feel free to flip through the additional links to become familiar with managing the extension from your email account.
Creating a Ticket
To create a ticket from an email, open the email you would like to create a ticket from and look for the HubSpot icon on the right side of your email page and click it.
That will open a slide out which shows the option to go to the user's contact page in HubSpot, view previous tickets, company information and several other details. There is an Add button next to tickets which allows you to open a new ticket form.
Here you will start filling out ticket fields. Once you have the required fields filled out you can create the ticket, which will then be populated in the full list of tickets created for that user in the slide out. The Create button will not populate until the required fields are filled out.
Once the ticket has been created you go directly to the ticket to complete any needed details.
Logging the Email
Once the ticket has been created, you can log the email by clicking the Log Email or Logged to Email dropdown and searching for and choosing the ticket(s) the email should be logged to.
Once you refresh your account that email will be logged on the ticket. You can log an email to more than one ticket.
