Idea Requests for each station can be approved or denied individually or all at once, regardless of markets. Then, proposals include all approved requests.

If an Account Executive in Greenville fills out an Idea Request, a Sales Manager in Charlotte can approve it; then PDs in Atlanta and Dallas can approve, followed by Promotions in Baltimore approving and sending a proposal back to the AE in Greenville.

First Steps: Set Up

Before beginning to use Idea Requests and Proposals, your Firm Admin will need to activate the feature. Click here for details.

Idea Request Workflow

Idea requests are for situations in which an Account Executive has a client that needs a proposal, and the AE has some information, but nothing definitive and certainly not a complete idea for a promotion.

To begin, the account executive clicks on the +Idea button2 and fills in all of the information that they have from the client. 

There are 5 required fields on the Idea Request form:

  • Client
  • Station(s)
  • Presenting to Client Date
  • Amount of Buy
  • What is Client Providing?

Once submitted, the request(s) shows in the Proposals tab with a separate copy of the request for each station. This allows station-specific personnel such as Content Managers to approve or deny the request for their station individually.

Approvers may also user the Approve All Requests button to approve all copies of the request for any stations to which they have access in vPromotions.

Approvers can be in any market, as long as they have access to the stations that are selected in the Idea Request.

Proposal Creation

On the final Idea Request approval (usually Promotions Director), the final approver is responsible for creating the Proposal.

On approval, the final approver will receive a new task with "Need to create proposal" in the Explanation column. By clicking on the action button "View Info," they will see the request info and a Create Proposal button. The proposal creator can also be in any market, as long as they have access to the stations that are selected in the proposal.

 

Clicking Create Proposal opens the Proposal form that alloows the proposal creator to either propose a New Promotion, an Existing Sponsorship opportunity (from Details > Sponsorships in a PRF) or any combination of the two Elements.

In addition to the details of each Element, the Promotions Director also specifies what the station will provide and what the client will provide in return (i.e., tickets, a cash buy, etc.) as well as their values.

For Multi-Station Idea Requests, all approved Stations will be shown in the proposal form. Clicking Save will save the proposal for all of those stations, replacing  the separate Idea Requests for each station with one proposal. Removing stations from the initial proposal form will create a proposal for only the stations included, and leave the removed station's Idea Request for creation of a separate proposal.

NOTE: For multi-station proposals, don't forget to specify items for each station, (i.e., 30 Liners on WXXX-FM, 30 Liners on WYYY-FM, etc.)

A saved proposal has 4 action buttons:

  1. Edit: For making changes to the proposal before releasing it to the sales person that requested it
  2. Release to Sales: For sending the complete proposal to the sales person
  3. Delete: For deleting the proposal completely
  4. Attach Files: For attaching files such as a presentation or PDF to be presented to the client

Selling the Proposal

When the proposal is released to sales, the sales person that made the request will get a notification and see the proposal in the Proposals tab. They will have 3 or 4 action buttons:

  1. View Proposal: For viewing the proposal information
  2. Sold It: For marking the Proposal as Sold and converting it to a PRF
  3. Attach Files: For attaching files such as a contract
  4. (Optionally) View Files: For viewing or downloading attached files from the Proposal.
Once they have confirmed the sale and attached the order (if needed), they get a confirmation and can go back to the Proposals tab to click Create PRF for any New Promotion Elements in the Proposal. From there, the PRF follows your usual workflow.
