Going to be unavailable to work events? Put the time away on your vacation days calendar!

If you are going to be away from work for a while, or just out of town on a Saturday and want to be sure you aren't requested to work events during your time away, you can add that time away to your vacation calendar. You will then be listed as unavailable for events during that time.

  • Accessing the Vacation Calendar: To ensure they are not assigned to upcoming events while away, users can utilize the vacation calendar feature within vPromotions. This feature is accessed by hovering over the user's name and clicking on the vacation days link. Once in the calendar, users should select the add vacation option and define the start and end dates for their time away; while a vacation purpose may be selected, it is not required.
  • Managerial Vacation Scheduling: For users in management positions, the system offers additional functionality to schedule time off for their team members. Within the vacation calendar interface, managers have the option to select "add staff vacation," which allows them to designate the specific person for whom they are adding time off before saving the entry to the system.
  • Event Assignment Restrictions: The vacation calendar serves as a tool to prevent scheduling conflicts, as it integrates directly with the event creation process. When a manager attempts to assign talent to an event, the system checks the user's status; if that individual is on vacation, they are marked as unavailable, and the system prevents the manager from selecting them for that assignment.
