Corporate contests are a complex and sometimes monstrous endeavor. With vPromotions Corporate Contesting we have streamlined the workflow to lessen the burden. Although some initial setup is required, once done you’ll be managing and tracking multiple promotions in multiple markets with ease.
Market and User Account Requirements
You must have the following to get started
- A Corporate Firm with all local firms associated. Contact Help Desk to get this set up, if needed. Any number of firms may be associated with the corporate firm to be included in corporate contests
- A Corporate Contest Manager (CCM) user in the corporate firm
- At least one Corporate Contest Liaison (CCL) per associated firm that serves as the point of contact and local contest manager in their respective markets. If no CCL is found the Promotions Director and Program Directors will be the CCL(s), or the “point-person” that will receive notifications about new contests and opt in to the contesting.
- Optionally one Corporate Contest Point Person (CCPP) can be set up with the Corporate Firm to choose a winner and enter the winner in vPromotions. (more)
- One Corporate Contest Prize Distributer (CCPD) to send the actual prize to the winner's market for pick up.
Now that you’re all set up you can start creating Corporate Contests. The steps below are an abbreviated example of how to get a contest out to your markets.
Example Contest
Contest Setup
- Corporate Contest Manager (CCM) fills out the Corporate Contest PRF, selecting stations by pre-set-up Custom Station Groups, or my Format(s), Market(s), or individual stations. On "Save," local PRFs are created mirroring the Corporate Contest PRF on each station's local vPromotions Main Calendar. Only those with the Corporate Firm will see the Parent PRF (labeled "Main-CC.")
- Corporate Contest Liaison (CCL) is notified of a new Corporate Contest on her station(s).
- For Mandatory Contests, they can choose "Accept" or if there is a good reason for doing so, "Conflict." (Conflict can be overridden by the CCM if necessary)
- For Optional Contests, the CCL can "Accept" or "Deny."
- Corporate Contest Manager (CCM) schedules Corporate Contest Plays, checking the "Text-To-Win" box for keyword entry contests, and "Live Plays" for contests that need to be scheduled simultaneously across time zones. These Plays my take some time to complete, as local Plays are created on all participating Stations in the Contest. Please be patient.
NOTE: When adding the Play Copy, the CCM include _SHORTCODE_ and _KEYWORD_ where the short code and keyword should appear in the copy, respectively. - Corporate Contest Manager (CCM) assigns Prizes to the Plays and eligibility rules to the contest.
- Corporate Contest Manager (CCM) enters the Shortcode in the field at the top of the Plays tab, and then enters a Keyword for each Play in the Keyword column of the Plays tab. These Keywords are also copied to each local station participating in the Corporate Contest, so be patient. (Keywords automatically are saved when the mouse clicks outside of that Keyword Field.)
Contest Execution
- On Air Talent announce the Keyword and the Shortcode to which to text message the Keyword on the air, and click "Mark Executed" at the proper time.
- Corporate Contest Point Person (CCPP) will pull a winner from the text-to-win platform and record audio of the winner's reaction to winning the contest prize and click the Assign Winner icon (trophy) from the Main-CC Plays tab, choose the winner's local market, and the the Station to which they are listening, before entering the winner's name or phone number to see if they are already in that market's Winners. The CCPP click "create new _____" and enters the required information. Then the Winner is assigned. This notifies the CCL that a winner from his market has been assigned for that Play. (more)
- Corporate Concert Prize Distributor (CCPD) receives a notification in vPromotions tasks and via email that notifies her that a winner hes been assigned. She then ships the Prize to the local market and clicks "Shipped" next to the notification.
- Corporate Contest Liaison (CCL) is notified that the Prize was shipped both in vPromotions tasks and via email. Upon receipt of the Prize, he clicks "Received" in the task list, notifying corporate that the prize reached the market.
- Front Desk handles fulfilling the Prize to the Winner and getting necessary forms signed. They she clicks "Claimed," which notifies everyone that the Winner is in possession of the Prize.
