The PRF Builder allows you to customize the forms for each of your PRF Categories. This tab is visible only to users with Promotions Director, Program Director or General Manager ability.
PRF Builder Tutorial
PRF Builder Layout
When the PRF Builder tab opens, you notice that all of the current PRF Categories are listed in the left section. The middle section contains New Field types, and the right section contains the Edit Field form. (NOTE: To change the attributes of a PRF Category, close the PRF Builder and go to PRF Categories in Settings > vPromo.)
PRF Builder ActionsClicking on a PRF Category will open up the list of fields that are on the PRF for that category. From there, you can do the following:
Delete A FieldTo remove a field from a form, click on the field and you will see that field's information populate in the Edit Field form on the right side of the PRF Builder. To delete the field, click the red "Delete" button. Then, click Confirm on the Confirm Delete popover.
Edit a FieldTo make changes to a field, click on the field, and you will see the information populate in the Edit Field form on the right side of the PRF Builder. From here you can edit any of the information in the Edit Field form including the Label, whether the field is optional or required, the default value (that will be the value if no one enters any information in the field), and the Role Visibility, which determines who can see this field when filling out a PRF. For Dropdown fields you can change Dropdown Choice and choose whether to allow multiple selections, or just one. Click Save when you have finished with that field.
Add a FieldIMPORTANT: When adding fields to a form, it is important that each field is unique on that form. For example, you should not have 2 fields labeled "copy" on the same form. Instead, use unique labels such as, "liner copy" and "promo copy."
To add a field to your form, first choose which type of field from the New Fields list in the center of the PRF Builder. The choices are:
- Text - One line of text can be entered.
- Long Text - A paragraph or more can be entered.
- Number - Only a number can be entered. (Set the minimum to 0 to avoid negative numbers.)
- Date - Month, Day and Year can be entered.
- Date-Time - Month, Day and Year as well as Time can be entered.
- File - This allows files to be attached at PRF entry.
Once you have chosen the type of field, click on it and drag it to the left of the list of fields until the arrow is as far left as it can be (right below the "V" to the left of the Category folder icon). Release the mouse button and a field titled "New (Type) Field" will be added to the bottom of your form. Click on the field and follow the Edit a Field instructions above to make changes. Click Save when you have finished with that field.
The end result will look something like this when the PRF is filled out:
Move a FieldTo move a field, click the field name in the list on the left side of the PRF Building and drag it to the desired location, so that the arrow to the left is not touching another field, but is pointing directly between two fields, but not overlapping. Release the mouse button to place the field there.
Add a Dependent FieldDependent fields are fields that are "nested" below a field and will appear based on the information entered in the field on which it is dependent. (Example: If the "Yes" is entered in a "Talent Needed?" field, additional fields such as "Talent Fee," "Talent Requested," etc. would show.)
To add a Dependent Field, choose the type of field, click on it and drag it to the left of the list of fields so that the arrow to the left is overlapping the field on which it should depend. Release the mouse button and the "New (Type) Field" will show below and indented. To edit the dependent field, click on it and use the Edit Field form on the right. In the "Show Condition" area choose the answer(s) that should result in the field appearing. Click Save when you have finished with that field.
NOTES:
- All Dependent Fields must have a "Show Condition" to work properly.
- System Fields like Title, Client, Stations, Start Date and End Date cannot have Dependent Fields.
If you would like to copy a field (including any dependent fields) to use the same field in another form, click on the field that you want to copy and drag it to the center "New Fields" area so that the arrow overlaps the "Field Clipboard" folder and then release. From there you can use the blue "back arrows" button at the top left of the PRF Builder. Find the form, and then drag the field as far left as it can be (right below the "V" to the left of the Category folder icon).
The fields in the Field Clipboard will remain there until you close the PRF Builder.
Important Note
If you have been a vPromotions client for a long time, you may be using the Legacy PRF Builder. The main differences between the current PRF Builder and the Legacy PRF Builder are that the current PRF Builder...
- ...opens in a new browser tab.
- ...allows nested, dependent fields
- ...has drag and drop field adding
If your PRF Builder does not appear in a separate tab, this information will not apply to you. If it does, here is everything that you need to know about creating promotion request forms in the PRF Builder. Contact vPromotions Help Desk to upgrade.
