Spec Spot Workflow - You can create specs and sold PO's in vPPO!

In vPPO, there is also a specific workflow for spec spots. It's as simple as clicking the sold it button!

Summary

Training session outlined Video Production Production Order processes for creating, modifying, and converting speculative orders into sales.

Creating Spec Orders
Users create speculative orders via the quick order process by selecting the spec status. Mandatory fields include due date and station, while start and end dates remain optional.

Modifying Order Stations
Station assignments remain editable until the final submission. Users must submit the order to initialize the process.

Converting to Sold Orders
Clicking the sold it button converts speculative orders into standard production orders. This decision requires entering pricing information and defining specific run dates to finalize the schedule.

Details

  • Overview of vPPO Spec Production Orders: vPPO allows users to create spec production orders in addition to standard sold production orders. They note this feature is useful when a client is not yet ready to purchase or if the user wants to provide a spec spot to encourage a potential sale. To create a spec order, the user follows the standard "create quick order" process but changes the status in the "sold, spec, and other" field to "spec". While a due date and station are required, start and end dates are not mandatory because the spot is not yet running.
  • Modifying Station Information for Spec Orders: The station assigned during the initial creation of a spec order can be changed at a later time if necessary. They advise that once all details are entered, the user should submit the order to move it forward.
  • Converting Spec Orders to Sold Orders: When a client agrees to purchase a spec spot,  utilize the "sold it" button to convert the order into a full production order. Upon clicking this, the user enters the price, if required by their specific market, and proceeds. This action automatically changes the order status to "sold".
  • Finalizing Sold Orders: After converting a spec order to sold, the system then requires the user to input run dates, as with any other production order. The user also has the option to update the station or modify other details required by their market before submitting the order, at which point it becomes a regularly scheduled order in the system.
