Communication with AdLarge for Barter Contracts

Who is AdLarge?

AdLarge turns the "barter" (air time) we receive from our Radio Station clients (as payment for our software) - into cash. 

For example, WXYZ-FM provides us with 1 minute of air time time on their airwaves, every week, for three years - and in exchange, we provide access to PromoSuite Production for three years. 

We then take that 1 minute of air time time, hand it to AdLarge, and AdLarge sells it to an advertiser who then runs their ad on WXYZ.  The monies collected by AdLarge from the advertiser for the air time is then divvied up, with PromoSuite receiving our portion.


Notifying AdLarge about the status of Barter clients

Anytime we:

  • Add a barter client (a new radio station that pays us via barter)
  • Lose a barter client (a radio station that was paying us via barter, but decided not to renew)

...we must inform AdLarge so proper records are maintained among both organizations (us and them). 

This ensures AdLarge takes the necessary steps on their side to track barter provided to them by us, and subsequently makes the process of reconciling what is owed to PromoSuite possible.


How To Submit an Add, Delete or Change notification to AdLarge

We currently use the spreadsheet titled "ADC Form - demo.xlsx" (attached to this post) to inform Layne Swanson at AdLarge of barter updates. 

In the sample spreadsheet you will see (1) Add and (3) Deletes - and not all information is required. 

The information listed for an Add is what is needed for an Add; likewise the information listed for the Deletes is what is needed for a Delete.

  • Adds are almost always the byproduct of a) a new business contract or b) an addendum to an existing contract, to include another station. In either scenario, it's during the Sales handoff to Customer Relations that the information becomes "known" or "available" (that a new barter station must be communicated to AdLarge).  As seen in the spreadsheet, noting the station's Traffic Contact is important.  It is with this person that AdLarge coordinates the ads that will ultimately air on our client's radio station.
  • Deletes are almost always the byproduct of a barter client deciding to not renew their contract. It's during the Renewal process that the information becomes "known" or "available" (that we must  communicate to AdLarge the loss of a barter station or stations).  As seen in the spreadsheet, in addition to the call sign and band, all that's needed is the contract end date.

Timeliness of notifying AdLarge

While not urgent, informing AdLarge of Adds and Deletes is important.  It does not need to be done daily - but good practice would be send changes on a weekly basis, when there are changes.

One approach is to save a weekly "draft" spreadsheet, noting changes as they come in, and sending the spreadsheet at the end of the week.  When sent, Rocco needs to be copied.

Currently, Nia handles these updates to AdLarge, with assistance from Andrew as needed.

 

Other

  • Each month we receive another spreadsheet from AdLarge of all call sign changes (attached to this post, titled "Call Changes - April 2022.csv) - this spreadsheet is used by Mike to cross-check the information in SELL about these radio stations; for more information on how we handle call sign changes check out the post titled "Process for Call Sign changes among Customers"

  • We may one day consider adding an area in SELL where it can be noted that "Barter info" has been communicated to AdLarge (for a particular Radio Station)
