# Production Costs Recap

## The Production Cost Recap feature gives production teams a standard form for itemizing the costs of a production request and recording what will be billed to the client. Each recap is attached to its request line in vProMedia and can be exported for sharing or billing.

When Production Cost Recap is enabled for a firm and users are set with the appropriate abilities to View, Edit and Use this feature, an **Add Production Recap** link appears in the **Files** column, under **Notes / Misc**, for every request using an enabled ad type.

 To start a recap, click **Add Production Recap** in the **Files** column of the request. The **Production Invoice / Recap** form opens.

 **Production / Client Information**

The header displays the client and production details configured for the request, including:

- Advertiser / Client, Contact Name, Mailing Address, Phone and Email
- Account Executive, Campaign / Contract Ref #, Creative Producer and Production / Project Title
- Start Date, End Date and # of Spots

**Notes / Description**

Use this rich-text area to record any relevant production information, such as scope, deliverables, talent or session details. Standard formatting (bold, italics, lists and links) is available.

**Production Costs**

1. Click **+ Add Cost Item** to add a line.
2. Choose the **Cost / Service Type** from the dropdown. These are the categories set up by your administrator.
3. Enter the **Rate**, **Qty / Hrs**, **Total** and any **Notes** for the line.
4. Repeat for each cost. Use the trash icon to remove a line.

The **Production Costs Total** beneath the list adds up all line totals automatically.

**Invoice Summary**

The Invoice Summary is completed manually. Enter each value as follows:

| **Field** | **What to enter** | **Calculated?** |
| --- | --- | --- |
| **Actual / Production Total** | Total production value before any credits or adjustments | No, manual entry |
| **No Charge / Production Credit** | Credits, discounts or items not charged to the client | No, manual entry |
| **Billed to Client** | Final amount to bill: Actual / Production Total minus No Charge / Production Credit | No, manual entry |

 

| **Important:** The only value the system calculates is the Production Costs Total. Double-check the Invoice Summary math before saving or exporting. |

**Saving and Exporting**

- **Save:** click **Actions \> Save** to save the recap to the request line in vProMedia.
- **Export:** export the recap to PDF (**Export to PDF**) or Excel for sharing or billing.
- **Cancel:** closes the form without saving changes.
